Steps to Closing a Store

Step 1: Set the Store to Private

  1. Navigate to Store Level
  2. From the left side menu, select Settings > Site Visibility and Security
  3. Toggle Visibility to Private and set a password
  4. Select Save

This will prevent your users from accessing the store and making purchases.

 

Step 2: Update Payment Gateways

If the store will no longer be used, best practice is to remove the credit card credentials.

  1. Navigate to Store Level
  2. From the left side menu, select Payment Methods > Credit Card
  3. Update Basic Settings to Don’t Accept
  4. Select Save

If the store is only down for maintenance, it is best practice to swap out the credit card credentials with test credentials and place the store in test mode.

This way, any test purchasing done before opening the store again will not charge the card on file. Even if the store is set in Test Mode, the card will be charged if there are live credentials. To avoid this, test credentials must be used.

image.png Note if the store is using the Order Approval feature, work with the Client to ensure that all orders needing approval have been taken care of before rescinding access.

 

Step 3: Integrations

If there are any integrations set up, please ensure that all orders have synced to either ShipStation or Syncore before disabling.

image.png Note disabling at the Organization Level will NOT disable currently enabled integrations at the Store Level. This is to ensure that all orders have the chance to sync to their respective platform. It will prevent new integrations from being set up.

            Ship Station:

            Check the ShipStation account to ensure that all orders have been synced.

            Syncore:

Navigate to Org Level > Orders > Check Order Fulfillment to check that all orders have been synced/integrated. 

If the Commercio platform is being used for shipping confirmation emails, check that all orders have been marked as Fulfilled. This can also be checked in the order itself by selecting the pencil icon to the right of the order.

 

Step 4: Reporting

Lastly, if you wish to keep record of the Stores order history, download the Orders Reports. Options include:

  • Order Summary
  • Order Details
  • Order Status

Organization Level Reporting

 

The store is now successfully closed.

 

 

Pop-Up in Company Stores

To close a Pop-Up in the Company Stores platform, follow the same process as closing a Company Store. One difference is that no orders will be in fulfillment status, if using Commercio as the fulfillment platform sending shipping confirmations, this can still be done with a closed store.

 

URL

Note that if the URL for this store is to be reused, the same store can be edited and reopened. Or, if a new store will be created from scratch, the URL for the closed store will need to be changed as 2 stores cannot have the same URL no matter the status of the store. Even if the store is deleted, the URL cannot be reused.

To update the URL:

  1. Navigate to the Store Level
  2. From the left side menu, select Settings > Basic Settings

image.pngTIP: Add “closed” and the date to the URL (example below for store closed Jan 6, 2024). This will create a unique URL that will prevent duplicates in the future.
