Orders

Order Management

The Orders tab is where system administrators can search customer orders across your organization. From here, you can either view or edit these orders.

Search by:

  • Store
  • Date or Date Range
  • Transaction ID
  • Store ID
  • First Name and/or Last Name
  • Order ID

None of the above fields are required, so you can search with as little or as much information as needed.

SARCH RESULTS

  • You can download a .csv spreadsheet of your search results.
  • If the store has not closed, you can view or edit an order. If the store has closed, you will only be able to view the order.

VIEW/EDIT ORDER DETAILS

When you select or <View/Edit>, the next page will have the following sections: Store Details, Customer Details, Shipping Details, Item Order Details, Billing Details, Order Transaction Details, Donation Summary, and Order Notes. If the store has closed, you will not be able to edit customer orders.

STORE DETAILS

At the top of the page, you will see the following store details:

  • Order Number
  • Payment Status
  • Store Id
  • Organization
  • Store URL
  • Store Target Date

The next three sections, Customer Details, Shipping Details, Item Order Details, allow editing if the store has not closed.


Click to capture any changes.

EDIT ITEM ORDER DETAILS

The Item Order Details section allows you to edit the items in an order, cancel any saved changes, or cancel an order completely. If you need to edit the items on a customer’s order, you will click the button where you can update the existing items or add items to the order.

Edit Existing Items
You can change the size and quantity of items on the customer’s order.

  • To change the size, select the new size from the drop-down box. To save, select update in the Action column on the far right.
  • To change the quantity, enter the new amount in the quantity box, and select update in the Action column to see the new changes.
  • To keep your changes, you must select Save Order at the bottom of the window.

Add Additional Items

  • To add additional items, click Add Additional Item and select the item from the drop-down.
  • Next you will select the size and enter the quantity.
  • When you are done, click add.
  • To keep your changes, you must select Save Order at the bottom of the window.

When you have saved all changes, send the updated order summary to the customer by entering their email address in the text field. You can preview the email and send to the customer.

EDIT BILLING DETAILS

The Billing Details section allows you to send a link to the customer to update their payment details and update the item order details. To send the link to the customer, enter the customer’s email address in the field and click .

The customer will receive an email with a link to update.

When the customer clicks the link in the email, they will have the opportunity to update their billing address and credit card information.

ORDER TRANSACTION DETAILS
This section lists the following details: purchase amount, transaction amount, created date, settlement date, transaction ID, PayPal transaction ID, and credit card descriptor. The settlement date will not populate until after your store closes.

DONATION TRANSACTION DETAILS
This section also lists the following details for any donation: purchase amount, transaction amount, created date, settlement date, transaction ID, PayPal transaction ID, and credit card descriptor. Unlike the order transaction details, the settlement date will typically be the same as the created date because payment for donations is collected when the order is placed.

You can also send and/or preview a donation summary receipt.

ORDER NOTES
The order notes section lists time-stamped system generated updates to the order and manual notes.

How to Edit an Order

While a Pop Up is live, system administrators can make changes to the Customer DetailsShipping Details, and Item Order Details.

  1. Select Orders in the top navigation menu
  2. Enter details relevant details in the search fields and select Search.
  3. In action column of the search results, select View/Edit.

How to View and Download Packing Slips

You can access the reports for each store from the Manage Campaigns dashboard by clicking on the Reports tab in the Task Column.
From the Reports Dashboard, select Order List.

Click on "View Packing Slips" to view, or "Download Packing Slips" to download a PDF.
